To control and manage administrative, clerical and other assigned functions for the President/CEO, making it possible for the President /CEO to focus on matters associated with directing the Credit Union.

Primary Duties and Responsibilities:

  • Provides confidential and professional administrative and secretarial support to the President /CEO.
  • Composes letters and memoranda from dictation, verbal direction or from knowledge of organization policy or procedures; edits written communications from word processing documents.
  • Attends meetings, takes detailed minutes of meetings and records tasks, due dates and delegation as discussed.
  • Creates presentation materials using various software products including PowerPoint.
  • Coordinates meetings, maintains schedules and makes travel arrangements for the President /CEO as required.
  • Process both electronic and paper information with a dedication to accuracy and confidentiality; make quick and effective decisions, prioritizing tasks and exercising intuitive judgments.
  • Screens telephone calls, incoming mail, publications, and other correspondence to determine if executive action is required and follow up to ensure proper disposition.
  • Using Outlook, maintains the President/CEO’s daily appointment calendar and informs President/CEO of decisions that require input or approval.
  • Prepares or assists in the preparation of assigned reports accurately and in a timely manner.
  • Assists the President/CEO in aspects related to the Board of Directors and Committee meetings.
  • Collects and prepares information for the President/CEO’s use in discussions and meetings with other Credit Union managers, employees and outside individuals.
  • Attend meetings with or on behalf of the President/CEO; attend monthly board and ALCO meetings; where needed provide relevant educated opinions and insights based on organization and industry knowledge.


  • Provide informed, professional and personal assistance to all members, Board and Committee Members, Credit Union employees and business partners.
  • Meet all required time deadlines for mail/correspondence for the President/CEO and Board material.
  • Prepare and distribute promptly monthly minutes and reports ensuring on-time delivery.
  • Maintain and keep current the Credit Union official policies, procedures and Board minutes and actions.
  • Organize the central files/records and maintain daily filing with accuracy.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • High level interpersonal skills to handle sensitive and confidential situations and a variety of personalities. Excellent written and verbal communication skills.
  • Analytical ability to originate, organize, and carry out complex tasks, projects, and research assignments and to understand a variety of documents.
  • Proven experience in organizing and tracking special events.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.

Knowledge and Skills:

Experience       Five to ten years of similar or related experience.

Education         A two year college degree or completion of a specialized course of study.
